As a key player in our team, you’ll work closely with our team to guide clients through their grant journey—from application to reimbursement. Starting with mastering a few grant programs, you’ll quickly become an expert in meeting client needs at every step, refining our processes, and setting the standard for excellence within our team.

CORE JOB FUNCTIONS:

Grant Delivery (50%):

  • Lead the success of grant applications by ensuring they are accurately completed and informed by comprehensive research across various sectors. This includes analyzing job roles, training providers, and companies to tailor applications.
  • Responsibilities include drafting grant applications with creativity and technical precision, conducting thorough research, coordinating client meetings via Zoom for application assistance, maintaining consistency between CRM and grant documentation, and providing daily support to the strategy team.

Client Servicing (20%):

  • Guide clients through the grant application process from pre-approval to post-approval, including assistance with reimbursement claims. This role demands direct communication for updates, follow-ups, problem-solving, and client support.
  • Build and maintain client relationships, respond effectively to client needs, and address any barriers to grant completion.

Process Management (15%):

  • Design and document the grant application process, setting key milestones and tasks, and ensuring they are accessible via CRM. Adapt processes and templates as needed to maintain efficiency.
  • Collaborate with the Operations Manager to define project requirements and continuously update grant program knowledge using resources like Get Granted.

Administration (15%):

  • Keep CRM and communication templates up-to-date, ensuring accurate tracking of grants and supporting the application process with the necessary documentation.
  • Responsibilities include maintaining project documentation, ensuring application information is current, managing document storage standards, and validating data accuracy in CRM and financial estimates.

HOW YOUR SUCCESS WILL BE MEASURED

  • Grant Submission Efficiency: Achieve a minimum of 80% weekly grant submissions based on available opportunities.
  • Application Turnaround Time: Submit applications within 2 days of receiving all necessary information.
  • Client Communication Response Time: Respond to client inquiries within 24-48 hours.
  • Grant Progress Monitoring: Ensure 95% of grant processes are completed within the program-defined timelines, keeping clients informed throughout.

You’re a dynamic project coordinator who thrives on ensuring timely project delivery and excels in managing resources efficiently. Your strengths include gathering insights from documents, writing with clarity, and effortlessly navigating through multiple projects in a fast-paced environment. Adaptability is second nature to you, allowing you to handle varying workloads with ease.

With a background in a relevant field or equipped with post-secondary education in research, fact-checking, and documentation, you’re adept at validating information accurately. More than anything, you’re eager to apply your talent s towards streamlining business operations, making them more efficient and impactful.

YOUR QUALIFICATIONS

  • Undergraduate degree in a relevant discipline. A degree in Business or Administration is preferred.
  • Minimum of one year experience or the equivalent combination of education and experience.
  • Experience coordinating activities and resources in projects of varying sizes
  • Excellent interpersonal and team skills.
  • Self-directed and willing to take initiative in carrying out assigned tasks.
  • Ability to work independently, under pressure and meet deadlines.
  • Excellent time management, organizational and coordination skills.
  • Familiarity with CRM platforms (HubSpot) is an asset 
  • Familiarity with Google Suite and Microsoft Office is an asset

COMPENSATION 

This posting is for a full time position at 37.5 hours per week (Monday – Friday). Primarily remote with 1 day in the office if located within the Vancouver area. Benefits include paid vacation time starting at 2 weeks per year, plus 1 week off paid between Christmas and New Year. 5 days paid sick leave and 2 personal paid days per year. We also offer 2 paid volunteering days per year and extended health and wellness benefits. All staff members receive additional paid vacation days per calendar year worked. Annual salary range: $42,500 – $47,000 + commission.
